AI Extraction
Workloom can read uploaded documents and automatically pull out the information that matters — saving you from retyping the same details that are already sitting in a file.
This works for two things: contracts and resumes.
Supported file types: PDF, Word (.doc, .docx)
How it works
You upload a document. Workloom reads it and fills in the relevant fields for you. Before anything is saved, you see exactly what was found, how confident the AI is, and any notes it flagged.
Nothing is saved automatically. You review first, adjust if needed, then confirm.
Where AI extraction is available
Contracts
When creating a contract, you can upload the source document — an employment contract, contractor agreement, or offer letter.
Workloom will attempt to extract:
- Person — who the contract belongs to
- Position — job title or role
- Contract type — employment, contractor, etc.
- Start date and end date
- Salary or rate and currency
- Leave allowance
- Notice period
- Probation details
People profiles from resumes
When adding or editing a person, you can upload their CV or resume.
Workloom will attempt to extract:
- Name, email, phone, address
- Education history
- Work experience
- Skills or notes
Reviewing extracted information
After uploading, you'll see a review screen showing each field Workloom found. For every extracted value, you'll see:
- The extracted value — what the AI read from the document
- A confidence indicator — how sure the AI is about that value
- A comment — if the AI flagged something uncertain or worth checking
Don't skip the review step. Even a high-confidence extraction is worth a quick glance — documents vary, and the AI occasionally misreads formatting, abbreviations, or ambiguous dates.
What confidence means
Each extracted field includes a confidence level — a signal of how clearly the AI was able to read that value from the document.
| Confidence | What it means |
|---|---|
| High | The value was clearly stated in the document |
| Medium | The AI found something likely correct but wasn't certain |
| Low | The value was inferred or unclear — check it carefully |
Low confidence fields are highlighted so they're easy to spot. Pay extra attention to these.
:::warning Common mistake Assuming high confidence means perfect. The AI reads what's written — if the document itself contains an error or an unusual format, that can carry through to the extraction. Always verify dates, rates, and names. :::
Making corrections
On the review screen, every field is editable. If a value looks wrong or incomplete:
- Click the field
- Update the value
- Continue reviewing the rest
You can also clear a field entirely if the AI pulled in something that doesn't apply.
Saving
Once you're happy with the reviewed fields, click Save (or the equivalent confirm action in context). Only then is the data written to the record.
If you close or navigate away before saving, nothing is kept.
What if the AI can't find something?
Not every field will be extracted from every document. If a value wasn't found, the field is left blank — it won't be guessed or fabricated.
Fill in any missing fields manually, the same way you would without a document upload.
