Invite Flow
Here's exactly what happens from the moment you send an invitation to the moment someone joins your workspace.
Step 1: You send the invite
From a person's profile, you click Invite to workspace. Workloom sends an email to the address on their profile.
The email contains a unique, time-limited link. It's valid for 7 days.
Step 2: They receive the email
The email is sent from Workloom and includes:
- Your workspace name
- An invitation to join
- A button to accept
Make sure the email address on their profile is correct before sending — this is the most common reason invitations fail.
Step 3: They click the link
Clicking the link opens Workloom in the browser. If they don't have an account yet, they'll be prompted to set a password. If they already have a Workloom account (from another workspace), they log in and the workspace is added to their account.
Step 4: They accept
After logging in or creating their account, they're taken directly into your workspace. They're now an active member.
From this point, they can:
- View and edit their profile
- See their contracts
- Submit leave requests
What you see when they accept
The person's status in your People list updates from Invited to Member. You may also see a notification in your dashboard activity feed.
Invitation states
| State | What it means |
|---|---|
| Not invited | Person added but no invite sent |
| Invited | Email sent, link not yet clicked |
| Accepted | Member is active |
| Expired | Link expired without being used |
| Revoked | You cancelled the invitation |
