Running Payroll

Calculate a draft

  1. Open Payroll.
  2. Choose one of the recent month shortcuts or set a custom payroll period.
  3. Select Calculate draft.
  4. Open the new run from the list.

Creating a draft does not publish payslips or freeze source data.

Review the run

Review every payroll line, currency total, and included expense. Pay particular attention to warnings:

  • Missing jurisdiction — update the relevant contract with its payroll jurisdiction, then recalculate.
  • Hourly work outside a contract — correct the contract dates, remove the person from the run, or resolve the affected entries.
  • Unexpected hours — check that the entries fall inside the period and have been approved.

People with reimbursable expenses but no payroll earnings can still appear in an expense-only group.

Change the people or expenses included

While a run is a draft, authorized payroll managers can remove a person or adjust which eligible expenses are included. Recheck totals after any change.

Lock the run

Locking creates the stable payroll record used for exports and employee payslips. Confirm the date range, currencies, earnings, and expenses before locking.

Only users with the relevant permission can unlock or delete a locked run. Treat those operations as administrative corrections.

Export payroll

Use the run actions to download:

  • CSV for accounting or downstream payroll processing
  • PDF for a readable payroll report

The PDF uses the report logo configured in workspace settings, when available.
