Profiles

Every person in your workspace has a profile. It's the central place for all their information.


What's on a profile?

A profile brings together:

  • Basic info — name, email, job title, phone
  • Employment details — start date, department, role
  • Contracts — all contracts linked to this person
  • Leave — their leave balance and request history
  • Status — whether they're active, invited, or inactive

Editing a profile

Admins and managers can edit profile information directly:

  1. Open the person's profile from People
  2. Click Edit next to the section you want to update
  3. Make your changes and Save

Members can view their own profile. Whether they can edit it depends on your workspace settings.


Profile photo

You can upload a profile photo from the Edit profile view. It shows up across the workspace — in the People list, on leave requests, and in activity feeds.

Photos are optional. A placeholder avatar is used when no photo is uploaded.


Deactivating someone

When someone leaves the organization:

  1. Open their profile
  2. Click Deactivate member
  3. Confirm

Their account is disabled, but all their data — contracts, leave history, notes — stays in the system.

tip

Add an end date to their contract before deactivating. It helps keep your records clean and makes reporting more accurate.
